Responsibilities:

The Conference Services Coordinator is responsible for overseeing the reception area, conference rooms, visitor offices, meeting reservations, catering, pantry areas and general hospitality. Working with partner vendors for food and beverage and office services and security. Specific duties and responsibilities include, but are not limited to, the following:

  • Oversight of standard office set-up for visitor offices and conference rooms
  • Oversight of Hub space areas clean, organized and stocked
  • Communicate facility issues/requests to office services team
  • Oversight of reception area and receptionist
  • Use Firm’s conference scheduling system (EMS) to schedule meetings and events requiring room setup, catering, video conferencing and audio-visual support
  • Manage all catering requests and work with vendor/partner on all events
  • Work with firm departments and practices for events
  • Process invoices and manage an event budget
  • Coordinate purchasing event supplies
  • Coordinate floral arrangements for events and reception area
  • Process invoices including firm credit card
  • Participate in weekly food and beverage calls with vendor/partner
  • Review menus for cafe and catering to ensure they are culinary relevant
  • Work with property management on security and large scale event entry
 

Qualifications:

  • College degree or equivalent experience required
  • 3+ years background in the hospitality industry and/or meeting planning preferred
  • Ability to prioritize and handle multiple tasks simultaneously and with minimal supervision
  • Ability to organize and communicate multiple tasks well in oral and written form
  • Strong analytical and interpersonal skills
  • Professional demeanor and ability to maintain absolute confidentiality
  • Ability to work independently, with minimal supervision
  • Ability to cultivate and maintain good vendor relationships that ensure vendor support and responsiveness in addition to competitive pricing
  • Attention to detail. Ability to notice small things that are out of order
  • Excellent customer service skills and the ability to handle complicated matters and/or complaints in a calm and courteous manner.
  • Ability to manage budgets and costs as well as understanding the value of services.
 

The anticipated annual base salary for this position is $75,000 - $80,000. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location from which the applicant will be performing the job.

We are seeking a Receptionist to join the Office Operations team in the New York Office.

Position Overview

The Receptionist will provide exceptional customer service when greeting clients, guests and employees as the enter they main lobby area.  Assistance with meeting set-up in coordination with the conference services and office services teams, as well as other departments to ensure that all requests for space, catering and AV/IT equipment are managed seamlessly.

Establishing positive work relationships with clients, attorneys and administrative professionals is necessary for success in this role.

Responsibilities

  • Greet and log visiting attorneys and personnel from other Cadwalader offices and inform IT and Office Services team members of such visitors
  • Answer telephones for attorneys/business professionals/clients and direct callers as requested or to voice mail, when appropriate
  • Escort guests, as needed to conference rooms
  • Schedule visiting offices
  • Maintain and update reservation details and other logistics in EMS for conference rooms. Work closely with Conference Services, Office Services and Information technology (IT) team to ensure meetings run smoothly. Respond promptly to conference room requests or questions, providing excellent customer service when resolving issues
  • Assist clients and/or visitors with local transportation needs
  • Knowledgeable of all personnel and departments in the office.
  • Knowledgeable of all office wide amenities
  • Maintain a neat and orderly Reception area
  • Maintain a secure environment at reception area and floor entrances, ensuring that all guests are logged in with building security
  • Maintain security badge log (temporary loaner cards, etc.)
  • Provide the wireless guest password and distribute to clients, as necessary
  • Coordinate with Conference Services on distributing daily office visitor email

Experience & Qualifications

  • Proficiency in outlook, iManage, EMS and other firm applications
  • Available to work overtime, as required
  • Familiarity with making international and long-distance calls
  • Bachelor’s degree
  • Prior hospitality including customer service, receptionist or concierge experience
  • Previous law firm experience
  • Ability to interact in a professional, cooperative and tactful manner with clients, co-workers and others both in person and on the telephone
  • Detailed-oriented and adaptable
  • Punctual
  • Pleasant and professional demeanor with clear speaking voice
  • Excellent verbal, written, organization, computer, and interpersonal skills
  • Ability to multitask, solve problems and handle confidential matters with diplomacy and tact
  • Ability to work in a fast-paced environment

This position requires working five days in the office - 8:00 a.m. to 4:00 p.m.

 

The anticipated annual base salary for this position is $60,000 - $65,000. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location from which the applicant will be performing the job.
